How to reduce the size of a Word file

Like almost all text documents, Word files do not usually take up much space, about 20-30 KB per document. Filling up a modern hard drive with such files can be a daunting task: there is room for millions of documents of this size.

However, sometimes these files are much larger, especially if they contain images. If your Word files are several tens of megabytes (MB) in size and you are running out of space, you should consider reducing the size of your files. That’s how it’s done.

Reduce file size by compressing and shrinking images

The first way is to reduce the size of your images by using improve their compression and reduce their quality. To do this, click File.

Now click Options.

In the new window, a menu will appear on the left, click on Advanced.

Scroll down the right edge until you see a section called Image Size and Quality (Image size and quality) find.

If it is checked, uncheck it Do not compress images on file (Do not compress images in file).

Also click Default resolution (standard resolution) to decrease the number of pixels per inch (ppi). Images still look good at 150 dpi, but you can go down to 96 dpi and sacrifice a bit more quality for space.

Click on OKto apply the changes to the current document and any new documents you create. For already created documents you have to repeat this process file by file.

Reduce the size by preventing embedding of new fonts

Even if it’s unusual, your documents can embed the fonts you use. This isn’t usually necessary unless you’re sending it to someone who doesn’t have the font and you want them to see it exactly as you do. To prevent fonts from being embedded in your documents, click File.

Click again Options.

In the new window, click on the menu option Save.

Search for the section Preserve fidelity when share this document. Uncheck the box for Embed fonts in the file (Embed fonts in the file).

Finally click OK.

As with the previous process, this option is not activated for the current and the following documents.
